At Christ Central we take the safeguarding of children, youth, and adults with care and support needs, very seriously. 

We have a Safeguarding Team whose responsibility, delegated by the Elders and Trustees of Christ Central, is to oversee the implementation of the Safeguarding Policy and good working practice.

Mission Statement for Bookings of our Building 

The Building is owned by Christ Central (โ€œthe Churchโ€) and these are our objectives for bookings of our Building: 

  • To enable a building dedicated to God to be used for his glory  
  • To reach and be of service to the wider community 
  • To use the Building we have been entrusted with to earn additional income to help fulfil the mission of the Church 
  • To support the Church in its related activities 
Pre-condition 

We welcome bookings from individuals, groups or organisations, of any or no faith. 

We want our building to be of service to the wider community; this could include the use of the Building to promote and encourage discussion about faith and ways of life by groups who support those who may have questions or difficulties about lifeโ€™s journey. 

However, we can only allow the Building to be used in ways which are compatible with our aims and charitable status, and which do not condone, promote, encourage, or facilitate conduct that is inconsistent with them.  For example, the following uses would be considered inconsistent: 

  • A presentation to the effect that the Bible is not authoritative and complete 
  • Any presentation or activity that is contrary to the Churchโ€™s understanding and teaching of the Bible 
  • Any event indicating affiliation of the Church to a political party 
  • Meetings for non-Christian prayer 
Other conditions of hire

In addition to the pre-condition, the Building may not be hired for purposes that are dangerous or involve or may involve:  

  • any adverse impact on either the normal functioning of the Church or the Churchโ€™s reputation in the community 
  • any breach of the Churchโ€™s insurance policy 
  • any breach of statutory or other regulatory requirements or is otherwise illegal  
  • a likely nuisance, including excessive noise 

The Hirer shall not use the Building (and shall not allow it to be used) for any other purpose than that which the letting was agreed nor sub-let the Premises to any other party. 

The Church in its absolute discretion may agree whether or not to proceed with a letting and has the right to refuse an application without providing any reason.   

The Church in its absolute discretion has the right to cancel a booking (and future bookings) forthwith, if any precondition or other condition of hire is breached, appears (in the Churchโ€™s reasonable opinion) likely to be breached or in the event of the premises being unavailable due to circumstances beyond the Churchโ€™s control.โ€ฏ  

The Terms & Conditions attached to this Policy, dated with the same date as this Policy, form part of the Policy. 

Definitions 

Building: The premises at 3 London Road, its rooms, hot desks, outside space and car parking area 

The Church: The church in Redhill, Surrey, known as Christ Central and registered charity number 1190597

Hirer: Individual or individuals over 18 years of age, or business, or company or charity reasonably deemed to be responsible for the hire of the Building and the point of contact for the Church 

Services: Room space booked with building access, or hot desk space booked with building access, free wi-fi, use of fixed screens, air conditioning or heating where available, toilet facilities, use of kitchen facilities as agreed, use of photocopier as agreed

The room bookings are provided by Christ Central (โ€œthe Churchโ€) at 3 London Road, Redhill, RH1 1LY.  The building has a number of rooms which may be in use by the Church, or other external hirers, at the time of the booking.

  1. Hirer โ€“ Hirers must be over 18, will be the contact for the Church and are responsible for payment of all fees or other sums due in respect of the booking for that Hirer. 
  2. Pricing โ€“ Prices are per the charging schedule available on the website www.christ-central.org.uk. The relevant rate to be applied to the booking is made by the Church. 
  3. Acceptance of booking โ€“ The booking is binding on the Church when a confirmation of booking is sent by the Church and any required payments have been made.  This Term and Condition is subject to the โ€œOther Conditions of Hireโ€ in the Building Booking Policy. 
  4. Invoicing & payment โ€“ Single bookings and regular bookings of less than a month are invoiced and due for payment prior to the start of the booking.  Regular bookings of more than one month are invoiced monthly, in advance. These invoices are due for payment within 14 days. Payments are to be made by direct payment into the Church bank account or debit/credit card unless agreed otherwise. Failure to pay or late payment of charges may result in the Church terminating access to the building. The Church reserves the right to take appropriate steps to recover arrears. 
  5. Alterations to bookings by the Hirer
  6. To cancel or reduce a booking period. For bookings of less than one month, 5 business daysโ€™ notice is required. For bookings over a month, 1 monthsโ€™ notice is required. In the absence of the correct notice period the Church will invoice the user for the original booking.  
  7. To extend a booking period โ€“ the Church will try to accommodate these requests at any time. 
  8. Access to building โ€“ Hirers will be issued with a key card or electronic fob to access the Building and any rooms relevant to the booking. The key card/fob:
    1. remains the responsibility of the Hirer and will be replaced if lost or stolen. It is the Hirerโ€™s responsibility to report it as lost or damaged.  There will be a ยฃ5 charge for all replacements.
    2. is not transferable and must not be given to visitors of the Building under any circumstances. 
    3. remains the property of the Church and will be cancelled at the end of the booking. 
  9. No access areas โ€“ there are areas of the Building where access is prohibited at all times, even if the key fob allows access:
    1. the serving and kitchen area in the West Central Coffee Shop. 
    2. any door or area where a โ€œNo Entryโ€ or similar sign is placed. 
  10. Hirers are entitled to: 
    1. sole use of the area booked within the booked hours; 
    2. free internet access. Users must comply at all times with the relevant provisions of the Digital Economy Act 2010 and any other acceptable use policies when using free internet connection.  The Church has a high speed broadband connection, but cannot guarantee complete connectivity, if the reason is beyond our control.  Access to the free internet is not permitted unless it is during the time of the hire or is used while a customer of West Central.  The Hirer should โ€œforgetโ€ the internet connection after the allowed period of use; and 
    3. pre-agreed use of the photocopier for hot-desk users.  This is subject to reasonable use, which is; unlimited scanning, 50 black and white copies and 10 colour copies. Further copies will be charged at 10p per black and white copy and 30p per colour copy. 
  11. Parking โ€“ there is no permitted parking on site. However, Hirers needing to unload/load heavy equipment for their booking may park in one of the 6 spaces behind the Building (subject to availability). Hirers must relocate their vehicle once they are set up.  
  12. Public Liability Insurance โ€“ The Hirer will provide evidence to the Church that they have appropriate insurance to cover all its legal liabilities for accidents resulting in injuries to persons, including participants in the hiring activity, and/or loss of or damage to the Church arising out of the letting.  To the extent that it is legally permissible, the Church will not be responsible for any injury to persons or damage to property arising out of the letting. 
  13. Safeguarding โ€“ It is the Hirerโ€™s responsibility to ensure that they have a current safeguarding policy, if one is necessary for their activities. Please be aware that there may be other users of the building at the same time as the Hirerโ€™s booking.  
  14. Responsibility for loss or damage โ€“
    1. To the Churchโ€™s property โ€“ The Hirer agrees to indemnify the Church fully for any damage or loss caused to the Church, its fixtures, fittings & furnishings, by the Hirer or persons invited by the Hirer and against all claims, damages, costs and expenses arising out of non-observance of these terms and conditions. The Church shall determine whether any damage caused shall be made good and/or remedied by payment of damages (the assessments of which shall be in the sole discretion of the Church, such discretion not to be exercised unreasonably). 
    2. To the Hirerโ€™s property โ€“ the Church accepts no responsibility for any loss of or damage to Hirerโ€™s property (or that of their visitors) while they are using the Building or any of the services offered. Hirers will be entirely responsible for ensuring their property is safe and secure at all times 
  15. Property left at the Building โ€“ the Church accepts no responsibility for equipment left in the Building.   The Church will take reasonable measures to inform the Hirer and give a reasonable time for the Hirer to collect the possessions at a time convenient to the Church. 
  16. Vacating the Building โ€“ the Hirer should vacate the room or hot desk promptly at the end of their booking and return the room or area to the condition that it was found in. Vacuum cleaners are provided on each floor for use by the Hirer should these be required.   
  17. Hirerโ€™s guests โ€“ the Hirer shall ensure that the number of persons using the room does not exceed that agreed. The Hirerโ€™s guests may access the Building when accompanied by the Hirer and for the purposes for which the Hirer booked the Building.  
  18. Behaviour of Hirers and their guests โ€“ The Church requires that Hirers are responsible for ensuring their own behaviour and that of their guests is at all times appropriate to the shared business environment of the Building and respects the ethos of the Church. Access is at the Churchโ€™s discretion and will be reviewed if the Church concludes a Hirerโ€™s or Hirerโ€™s guestโ€™s behaviour is not in accordance with the acceptable use of the Building.  The Hirer shall be responsible for providing adequate supervision to maintain order and good conduct. 
  19. Spillages and breakages โ€“ should be notified to the Church when they happen.  The priority is to ensure everyone is safe and receives the necessary medical attention.  The Church will use its discretion to decide if a charge for cleaning or breakages is to be made.  
  20. Reporting of Accidents and Incidents โ€“ Information about how to record Accidents and Incidents is available in each room on the information card. 
  21. First Aid Kits โ€“ The Church will provide a first aid kit close to every room.  The location of the nearest one is on the information card in each room.   
  22. Fire & Safety notices โ€“ it is the Hirerโ€™s responsibility to ensure they have read and comply with all Fire & Safety notices posted in all rooms in the Building and make their guests aware of the content of the notices. 
  23. Fire Exits โ€“ Fire exit doors to and from the Building must be kept unfastened unobstructed and immediately available for exit during the whole time the Building is in use and no obstruction shall be placed or allowed to remain in any corridor, pathway or driveway giving access to the Building. 
  24. Food and drinks โ€“ food and drinks may be consumed in the Building, but food may not be prepared or cooked in the Building without the written permission of the Church.  
  25. Smoking โ€“ the Building is a non-smoking area (including e-cigarettes). 
  26. Alcohol โ€“ small quantities of alcohol for personal consumption are allowed.  It may not be bought or sold in the Building. 
  27. Animals โ€“ Except in the case of trained assistance animals, no animals shall be permitted in the Building. 
  28. Electrical Items โ€“ all mains electrical items being used on the Premises must have the necessary test certificate in place. 
  29. GDPR โ€“ the Church undertakes that, in performing its obligations, it shall comply with the provisions of GDPR regulations and all other applicable laws relating to the processing of Personal Data as defined by GDPR.  Both parties warrant that they are registered under the Data Protection Act in respect of the collection, processing and use of the Service. Each party will comply with the Act including but not limited to its obligations in respect of any personal data, which it may supply to or receive from the other party. 
  30. Confidentiality โ€“ both the Church and the Hirer shall maintain strict confidence and shall not disclose to any third party any information or material relating to the other or the otherโ€™s business, which comes into that partyโ€™s possession and shall not use such information and material. This provision shall not, however, apply to information or material, which is or becomes public knowledge other than by breach by a party of this clause. 
  31. CCTV โ€“ the Church uses CCTV throughout the Building including some surrounding areas and it is used in accordance with the Data Protection Act. CCTV is only accessed by authorised representatives of Christ Central to guard our employees or customers, to protect business interests, to ensure quality customer service and comply with legal and regulatory obligations.   32. Responsibility for carrying out legitimate business in the Building โ€“ the Church will make such enquiries as it thinks reasonable to establish the nature of the activities and business of Hirers.  The Church is not responsible for the legitimacy of a Hirerโ€™s business or other associated activities. 
  33. Provision of Services โ€“ the Church will take all reasonable steps to ensure the protection from loss, damage or destruction of the Services offered to the Hirer. 
  34. Right to Provide Services โ€“ the Church warrants that it has the right to provide the Services but otherwise the Services are provided on an โ€œas-isโ€ basis without warranty of any kind, express or implied, oral or written including, without limitation, the implied conditions of merchantable quality, fitness for purpose and description, all of which are specifically and unreservedly excluded. In particular, but without limitation, no warranty is given that the Services are suitable for the purposes intended by the Hirer. The Church warrants that the Services will be supplied using reasonable care and skill. The Church does not warrant that the Services supplied are error-free, accurate or complete.  
  35. Liability for the Services โ€“ the Church shall not be liable for any claim arising out of the performance, non-performance, delay in delivery of or defect in the Services nor for any special, indirect, economic or consequential loss or damage howsoever arising or howsoever caused (including loss of profit or loss of revenue) whether from negligence or otherwise in connection with the supply, functioning or use of the Service. Any liability of the Church shall in any event be limited to the fees paid by the Hirer in the month in which the event of default arises. The Hirer shall fully indemnify the Church against any liability to third parties arising out of the Hirerโ€™s use of the Services. 
  36. Public Safety โ€“ The Hirer shall comply with all statutory requirements regarding health and safety in all aspects of their activities and shall be responsible for the prevention of endangering public safety.  The Hirer shall be responsible during the hiring for the safety of the Church and the preservation of good order and decency therein. It is the Hirerโ€™s responsibility to ensure that all those attending are made aware of the fact that they do so in all respects at their own risk. 
  37. Protection of Premises and Property โ€“ furniture, fixtures and fittings shall not be removed or interfered with in any way (including decorating of any kind necessitating the drilling of holes or fixing by nails or screws into any part of the Building).  On no account shall inflammable, dangerous or noxious materials be brought onto the premises. 
  38. Right of Access โ€“ The Church and its agents reserve the Right of Access to the Premises during the letting.  Except in special circumstances this will be agreed with the Hirer prior to the letting. 
  39. Right to Refuse Admission โ€“ the Church reserves the right to refuse admission to the Building at all times. 
  40. Cancellation of booking by Church under the โ€œOther Conditions of Hireโ€ in the Buildings Bookings policy โ€“ the Church reserves the right not to refund any monies received in advance. 
  41. Refunds โ€“ are at the discretion of the Church and the Church is not obliged to refund any amounts for a booking.  
  42. Notices โ€“ All written notices to be served on or given to the Hirer shall be sent or delivered to the Hirerโ€™s principal place of business and shall be treated as having been given upon receipt. 
  43. No Right to Ownership โ€“ nothing in these Terms and Conditions confers any security of tenure or other right of exclusive possession or rights of occupation on a Hirer. 
  44. Alterations to Terms and Conditions โ€“ the Church may at any time alter these Terms and Conditions and the Services offered and may also alter the level of charges applicable.  Prior notice to users of any such alterations will be provided via email. 
  45. Agreement to Terms and Conditions โ€“ by making a booking, paying for the same, and using the Building, Hirers accept these Terms and Conditions.

Christ Central Data Privacy Statement

Christ Central is committed to protecting your privacy. This document explains what information we collect and process about you. It explains how and why we deal with your information and what your rights are. We use your information in ways you would expect โ€“ like managing serving teams and keeping you informed about events. For some specific things weโ€™ll ask for your consent, which you can withdraw at any time.

You can also tell us if information we hold is not accurate or if you want us to delete the information we hold about you.  In compiling this statement, Christ Central has considered the General Data Protection Regulation and the Privacy and Electronic Communication Regulations.

Your personal data โ€“ what is it?

Personal data is any information about an individual which allows them to be identified from that data (for example a name, photographs, videos, email address, or address). Identification can be by the information alone or in conjunction with any other information in the data controllerโ€™s possession or likely to come into such possession.

The processing of personal data is governed by the General Data Protection Regulation 2016/679 (the โ€œGDPRโ€).

The information we collect will vary depending on the reason for our interaction with you but may include your name, postal address, phone number, email address, date of birth, next of kin, bank details, your IP address (the location of your computer on the internet), pages accessed on our website, information about your interests and any other information that is reasonably necessary.

We collect and store information about you whenever you interact with us including for example when you register with us to receive updates about church activities, when you apply to work for or volunteer with us, when you make a donation to us or otherwise give us any other personal information.

How do we use your data?

We will use your data for three main purposes:

  • Contacting you to keep you informed of church activities and events.
  • The day-to-day administration of the church; e.g. pastoral care and oversight, preparation of ministry rotas, maintaining financial records of giving for audit and tax purposes.
  • Statistical analysis; gaining a better understanding of church demographics.

Christ Central complies with its obligations under the GDPR by

  • keeping personal data up to date;
  • storing and destroying it securely;
  • not collecting or retaining excessive amounts of data; protecting personal data from loss, misuse, unauthorised access and disclosure; and
  • ensuring that appropriate technical measures are in place to protect personal data.

What is our legal basis for processing your personal data?

Article 6 Para 1(a) of the GDPR gives us a lawful basis of processing data for specific purposes where you have consented to us doing so.

In other circumstances, under Article 6 Para 1(f) of the GDPR, we may process your data in ways you would reasonably expect where there is legitimate interest to do so. This may include instances where we process data for volunteering, small groups and events for example.

How we look after your personal data

We will treat all your personal information as private and confidential and will not disclose to any third party โ€“ internally it may be shared where necessary to facilitate the administration and day-to-day operations of Christ Central. All Christ Central staff and volunteers who have access to personal data are required to adhere to our policies.

There are four exceptional circumstances to the above permitted by law:

  1. Where we are legally compelled to do so.
  2. Where there is a duty to the public to disclose.
  3. Where disclosure is required to protect your interest.
  4. Where disclosure is made at your request or with your consent.

Our Database of Personal Information

We use third part service, ChurchSuite.com, to facilitate much of our church management, including as a database to hold any personal information we collect from you.  ChurchSuite stores all data in the UK within data centres that meet strict industry security requirements.  Members of Christ Central will also receive a login to ChurchSuite where they can view and update the personal information we hold about them. Information contained in our database will not be used for any other purposes than set out in this policy, and access is strictly controlled and granted only as needed for relevant processing.

The database will not be accessed by any authorised users outside of the EU, in accordance with GDPR, unless prior consent has been obtained from the individual whose data is to be viewed.  All access and activity on the database is logged and can be viewed by the system administrations.  Information kept on our computer systems and technical devices are encrypted with passwords to prevent unauthorised access.

People who subscribe to our E-newsletter

We use a third party provider, Mailchimp, to deliver our monthly e-newsletters. We gather statistics around email opening and clicks using industry standard technologies including clear gifs to help us monitor and improve our e-newsletter. This newsletter can be unsubscribed from at any time โ€“ just look for the link at the bottom of the email. For more information, please see Mailchimpโ€™s privacy policy.

People who sign up for events run by Christ Central

For events we run which require guests to sign up/purchase tickets, this will usually be done using ChurchSuite. If you are already a supporter of Christ Central then this event sign up will be logged against your profile in ChurchSuite. New contacts will be saved in ChurchSuite but kept separate from our general contact book. Any payments will be handled by a third party provider (usually Stripe, but potentially also PayPal), Christ Central does not store or process any payment details.

People who fill in a Connect Card on a Sunday

The paper card is held securely until it can be transferred to our digital system (ChurchSuite), usually the next day, the paper copy is then shredded. We will use the information you have provided to contact you and connect you in with relevant/appropriate activities in Christ Central.

People who register their children for Christ Central Kids Work

(including Sunday kids work, Thursday night youth group)

The data is stored securely by ChurchSuite and only accessed by staff and approved volunteers. We will only hold on to your data for eight weeks from your last visit to Christ Central โ€“ unless you choose to be added to the address book.

Visitors: As a visitor your data is kept separate from our address book and will be used only for the purposes of the check in system (this may include follow up contact). We ask for: date of birth so they can be placed in the correct group; a mobile phone number so that, if needed, we can contact you ASAP during the meeting; medical info so that snacks, drinks etc are appropriate; and any additional needs to help us better look after your child.

Members: For members of Christ Central there is the option to add your childrenโ€™s details into our Childrenโ€™s address book in ChurchSuite. This gives you more control over your childrenโ€™s data (including the ability to edit it) and allows us to more easily contact you in relation to childrenโ€™s work activities.

Processing financial payments

If you use a debit or credit card to donate to us, we will pass your debit or credit card details securely to our payment processing partner, Stripe, as part of the payment process, but the details are not stored by us. Where you have provided us with bank details directly so that we may process a regular donation from you by direct debit or standing order we will keep that information securely.  We will store records of your transaction in order to comply with financial regulations.

How long do we keep your personal data?

We keep your data for no longer than reasonably necessary. We will process your data as long as you are a member of the church or are in regular contact with the church. E.g. Sunday services, volunteering and/or small groups.

If you resign from membership or are no longer in regular contact with us, we will retain your data for as long as legally necessary in line with our retention policy.

Rights to Access Information

Current legislation gives you the right to see all the personal information we hold on you, the right to have it amended and the right to stop us causing you damage or distress.

If you want to see the information Christ Central holds on you then you can send a request in writing to dataprotection@christ-central.org.uk. We may need to confirm your identity before progressing the request and will aim to achieve this within 30 days of confirmation. This right to access your data is subject to certain exemptions: Personal Information may be withheld if the information relates to another individual.

Christ Central reserves the right to charge a fee for each subject access request.

Job applications and volunteering opportunities

If you apply for a job or volunteering opportunity with us we will collect information to assess your suitability for the role. We will only use the information you give us to process your application and to monitor recruitment statistics and undertake relevant checks.

Christ Central will put together a file about your employment or volunteering role which will be kept secure, used only for matters that apply directly to your role with us and kept after your role with us has ended in accordance with our record retention policy.

Use of Cookies

Cookies are used to help improve your experience of our website.

The information derived from our use of cookies will be aggregated to provide statistical information about the usage of our Site. However, we do not use any information derived from cookies, nor any IP addresses we collect, to identify any individual user of our site.
